POSITION: Human Resources Administrative Assistant

REPORTS TO: Airport Manager

LOCATION: ALB

AIRPORT: Albany International Airport

SUMMARY

The Human Resources Administrative Assistant will perform a variety of administrative and clerical tasks. The incumbent will provide support to the Administrative Services Manager, the Airport Manager, and the Assistant Airport Manager in the daily operation of the Administration Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

  • Maintain all information seen, heard, read or written communication in confidential containment, only sharing such on approved, need-to-know basis.

  • Assist with the timely and accurate transmittal of weekly payroll and with oversight of the time and attendance record keeping system.

  • Serves as back-up to the payroll administrator for payroll preparation.

  • Assist with the administration of employee benefits and workers compensation reporting, accident report forms and related reports, as assigned.

  • Assist with Employee Orientation Program.

  • Assist with the development and maintenance of Job descriptions.

  • Assist with the preparation and maintenance of routine and/or annual reports as requested by the Airport Manager, Avports Corporate Human Resources Department and/or the client.

  • Perform customer service functions.

  • Assist with conducting airport surveys.

  • Develop and prepare general correspondence.

  • Demonstrate optimal judgment in handling confidential, sensitive and executive information.

  • File and archive administration records; prepares record retention file organization annually.

  • Maintains inventory and orders supplies as needed.

  • Performs receptionist and general clerical duties to include filing, answering phones, operating office equipment, incoming mail distribution, maintains bulletin board for compliance postings; responds to emails.

  • Extensive typing to include reports, spreadsheets, tables/charts, forms, briefings, logs, agendas, union agreements.

  • Assist with ensuring compliance with collective bargaining agreements and maintaining retro data throughout union negotiations, until final ratification of new contract(s).

  • Assist client in coordinating employee events.

  • Participates in any Total Quality Management program.

  • Other duties as may be assigned.

    QUALIFICATIONS

    EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED);

  • Associates Degree or certificate in secretarial science preferred;

  • Demonstrated word processing (Microsoft word; excel; PowerPoint; outlook) and typing (50-55 wpm) ability and/or training; or equivalent combination of education and experience.

  • Work experience in a professional work environment.

    LANGUAGE SKILLS

    Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers, vendors and or employees of the organization.

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graph.

    REASONING ABILITY

    Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    CERTIFICATES, LICENSES, REGISTRATIONS

    Must possess a valid New York State Driver’s License as a condition of employment.
