Facilities Property Coordinator - Receiving and Property Management
POSITION DETAILS
The mission of the Procurement Department is to ensure efficient College operations by obtaining all goods, equipment and services while ensuring compliance with rules and regulations set forth by all governing agencies. The Procurement Department seeks applications for a Facilities Property Coordinator. The successful candidate will report directly to the Procurement Director. Responsibilities include, but are not limited to the following:
Maintains a computerized inventory of existing and acquired assets
Supervises the inventory of all equipment and furniture
Reconciles all equipment records on an annual basis
Assesses compliance with all governmental guidelines and applicable accounting and auditing standards
Supervises the decaling and/or recording by numbers of college equipment
Oversees the administration, placement, transfer and disposal of equipment to other offices and locations
Creates, maintains and updates records for damaged, lost and stolen equipment
Supervises the reconciliation of equipment records on financial reports and prepares monthly status reports
Administers staff loaner program and maintains related accountability
Coordinates with IT and Security to report, track and recover missing inventory
Develops and implementes inventory system for non-inventorial assets
Assists the Director of Procurement, Property Management, Print Shop, Receiving and Mail Services in the development of policies and strategies to safeguard the college assets
Liaises with heads of departments, monitoring and maintaining accountability records for departmental asset portfolio
Coordinates with HR during exit interviews for asset recovery
Represents the Property Management Department at meetings as required
Supervises the maintenance of perpetual inventory of stock for various supplies
Supervises the receiving staff and related activities
Prepares and updates procedure manuals
Uses CUNYfirst system to manage receiving notification
Operates arrival system and utilizes system to automate delivery recordings
Creates and maintains receiving and delivery procedure for Tax Levy, Non-Tax Levy, and Research Foundation related purchases
Computerizes departmental supplies history, and budget and manage supplies accordingly
Coordinates with IT to maintain an IT equipment delivery and installation process
Manages multiple storage sites for the college assets
Other related duties as assigned by the Director of Procurement
Essential duties require on-campus presence
QUALIFICATIONS
Bachelor's Degree required.
The following qualifications are preferred:
CUNY experience preferred
Experience with Financial Supply Chain module and PeopleSoft/Oracle is a plus
Proficiency with MS Excel and MS Word
Excellent organizational skills

Coordinates and communicates with Purchasing, Accounts Payable, Receiving, and Storeroom personnel to track and manage fixed assets inventories
Conducts physical inventories of College property in accordance with established federal, state, and city policies and procedures
Works with College Public Safety personnel to safeguard property and maintain proper equipment control
Maintains systems and databases to track assets; prepares and reviews routine reconciliation reports
Assists in proper equipment disposal, transfer and salvage activities following City, State, and Federal regulations, and in accordance with University policy
Assists in records management
May supervise personnel in conducting inventory and performing routine tasks
Performs related duties as assigned.

COMPENSATION AND BENEFITS
$54,268 - $68,245; Salary commensurate with education and experience.
