District Office Administrative Assistant.50 FTE REPORTS TO: Human Resources/Payroll Specialist FLSA STATUS: Part-time QUALIFICATIONS:

  • High school diploma or equivalent.
  • Vocational/technical school certification, AA degree or BA degree. (Preferred)
  • Three to five years of successful experience as an administrative assistant. (Preferred)
  • Strong communication, both written and oral skills, as well as strong interpersonal skills.
  • Proficient with Microsoft Office, Google docs, database applications and business machines.

PERFORMANCE RESPONSIBILITIES/ESSENTIAL FUNCTIONS:

  • Interpret, apply, explain and maintain the districts personnel policies, contracts, regulations, and employment records.
  • Notify administrative staff of due dates for performance evaluations; process and file completed evaluations.
  • Prepare and distribute job announcements; receive, process and qualify applications;
  • Process purchase orders relating to the HR department.
  • Maintain a variety of personnel records including seniority lists, employee rosters, fingerprint logs and certified and classified sub list.
  • Conduct orientation and processing of new employees; arrange for background checks and provide information on benefits.
  • Receive and distribute all mail and correspondence to respective district office staff.
  • Continued professional development in administrative, communications, human relations, financial analysis and management skills.
  • Maintains a high level of professionalism and confidentiality.
  • Orient new site personnel regarding appropriate school and district practices (e.g., IDs, background checks, payroll information and all forms required by law for the purpose of effectively assimilating new/substitute personnel into site operations.
  • Processes a variety of documents and materials (e.g., new hire packets, resignation and retirement packets, reports, sick leave, employee benefit information, teacher certification, background checks, applicant materials, leave requests, employee evaluation, ect.) for the purpose of disseminating information/items as appropriate
  • Notify staff of all required training and maintain a log of completed training.
  • Run reports/prints for weekly timesheets and ensure that timesheets are correct before payroll cut-off.
  • Assist the CFO with any state reporting requirements.
  • Enter new employees into all applicable software programs.
  • Back up the Administrative Assistant to the Superintendent
  • Perform other job related duties as assigned.
