  • Location:* Hershey, PA * Work location: On-site hybrid. * Summary: Administer all aspects of employee leaves and absences in accordance with Company policy and/or state, federal or local laws for U.S. employees, while providing instruction, guidance and excellent customer service to employees, managers, and human resources professionals. Responsible for serving as primary contact for all inquiries regarding Family and Medical Leave Act (FMLA), short-term disability (STD), long-term disability (LTD), Workers Compensation (WC) and incidental absences and leaves. Role will support as needed Canada leaves process for English-speaking employees. Role will have one direct report in Mexico. Additionally, this position is responsible for the administration of The Hershey Company’s severance plan, separation agreements, general releases, and other program administration. * Responsibilities:* * Leave Administration o Lead the administration of all company leaves of absence, including Short Term Disability, FMLA, Parental Leave, military leave, etc, for US Hourly population. o Function as the primary contact for leave questions/concerns and respond timely to inquiries for all hourly employees; interpret and communicate leave data utilizing information in Hershey and TPA systems; conduct follow-ups on leaves with TPA when needed; serve as main back up for all Salaried inquiries. o Assist the team with educating employees and managers on the leave process and related policies by developing and delivering presentations, knowledge, and other learning materials. o Manage shift limitation information and ensure accurate information is provided to TPA; partner with internal Health services and Risk Management teams to coordinate the return-to-work process, including accommodation requests and leave expirations; understand ADA requirements. o Accurately update Leaves Power BI dashboard; troubleshoot and resolve issues as they arise. o Oversee STD, FMLA, and Parental Leave File Feeds; partner with Internal IS team and TPA to identify and resolve file issues; assist with updating files with changes due to mergers, acquisitions, and policies; identify STD overpayments and benefit issues related to leave and partner with IS, Payroll and Benefits teams to resolve o Function as liaison between WC administrator and FMLA administrator to ensure accurate processing of leaves. Function as contact for WC absence data entry questions, and direct inquiries to appropriate contact to ensure compliance with WC state law (specifically PA). o Lead the administration for Canada English speaking employee Leaves process. Partner with the Canada HR team to ensure effective delivery of this work. Partner with Canada Payroll to ensure proper leave pay. o Monitor and respond to ServiceNow tickets timely and within the service level agreement o Key member of M&A HRIS Project Teams; Perform User Acceptance Testing for leaves and absences; prepare and deliver onboarding and training material o Responsible for training and development of one direct report in Mexico * LTD Administration o Monitor approved STD claims approaching maximum duration and ensure timely transition to LTD status to prevent benefit disruptions. o Process LTD actions (going out/returns) and make appropriate benefit updates. Identify and troubleshoot issues with benefits and SF/SAP systems. o Evaluate LTD claims for status updates, including Approvals, Denials, and Terminations and partner with Plant locations and HRBPs on appropriate employment/benefits actions. Administer 30 months process and work with Plant Locations/HRBPs on appropriate employment actions, including Termination with Benefits, Terminations, and Retirements. Understand and communicate COBRA regulations and processes. o Understand and communicate Hershey Retiree medical plans and processes; function as primary contact for benefits consultations for LTD employees and accurately communicate how benefits are impacted when an employee transitions to LTD/Terminated with Benefits/Termination/Retirement. o Conduct follow-ups with external vendors on LTD claim statuses and benefits. o Perform monthly and annual audits to ensure accurate LTD information is reflected in Hershey systems. o Research claim details and serve as main point of contact for inquiries from Plant Locations, HRBPs, employees, and external vendors * Assist with Severance Plan Administration (US/Canada Salaried) o Administer Hershey’s severance plans, separation agreements, and general releases, including plan interpretation, preparation of the legal agreements, benefit compliance, coordination of data entry and SAP processing, lump sum and bonus calculations and payments and coordination of career transition services. Work with HR Analyst – Incentives and Equity for the submission of equity proration adjustments to Fidelity. o Responsible for project management/process optimization for large scale reductions in force o Coordination of career transition services o Assist with the administration of the Executive Benefits Protection Plans o Serve as subject matter expert on severance administration for participants, managers, myHR, HR Consultants, and the Executive Compensation, Total Rewards, Finance, Payroll, Investor Relations, Tax, Global Mobility, and Law Departments o Serve as lead on group voluntary/involuntary severance projects as needed o Assist with internal/external auditor and Sarbanes-Oxley (SOX) requests and proactively ensures data integrity. o Provide financial and other reporting on severance administration o Participate on various work teams examining the enhancement of programs, procedures, policies, processes, workflows, automation related to severances and separation agreements. o Provide ongoing support to former employees/retirees by answering simple to complex questions related to severance. o Coordinate with Payroll for severance payout process to adhere to specific state pay guidelines. o Provide support to HR Support Center for Tier 2 tickets related to the severance process. o Edit and maintain severance SharePoint files. * Minimum Education and Experience Requirements:* * Bachelor’s Degree or equivalent training or experience. * Minimum 1-year experience as absence coordinator with 2-3 years in customer service-related position. * Working knowledge of absence policies and procedures and FMLA. * Computer experience (MS Word, MS Excel, SAP, Outlook). * Ability to effectively communicate with employees, supervisors, managers, absence management team members, IT, vendors, legal and payroll in a timely and efficient manner. * Minimum Knowledge and Skills:* * Excellent analytical skills & interpersonal skills. * Excellent written and oral communication skills. * Detail oriented. * Self-initiative. * Excellent computer skills. * Knowledge of FMLA, STD, WC, LTD, policies and procedures related to disability and incidental absences. #LI-TL1 #LI-Hybrid The Hershey Company is an Equal Opportunity Employer.
