UPMC Administrative Program Coord (Part Time) | Services for Teens at Risk (STAR) Center in Pittsburgh, Pennsylvania
We are hiring for an Administrative Program Coord to support the department of Academic Chief of Child and Adolescent Psychiatry and the Services for Teens at Risk (STAR) Center within Western Psychiatric Hospital. STAR-Center's mission is to provide state-of-the-art youth suicide prevention through the specialized and evidence-based assessment and treatment of children and adolescents suffering from depression and or anxiety.
The Administrative Program Coord will coordinate our Survivors of Suicide (SOS) support group by ordering supplies, scheduling the meeting location, scheduling the facilitators, taking in phone calls and emails of families who are grieving the loss of a loved one or relative, coordinator parking, report on SOS census and turnout. The candidate will assist with managing the state funding provided to the STAR-Center, tracking expenditures, submitting inquiries to the WPH financial team, and submitting expenses. The candidate will hire STAR-Center student worker and support supervision of tasks. Candidate will complete annual legislative reports of the outcome of STAR-Center activities and justify use of funds in future.
This position is grant funded.
Responsibilities:
Demonstrate excellent written and verbal communication skills
Prepare documentation, reports: Compose and edit correspondence, utilize data, independently write reports
Maintain files, databases, and tracking systems
Coordinate/organize administrative activities and functions across program such as educational workshops, trainings, and conferences put on by the STAR-Center
Coordinate and organize Survivors of Suicide (SOS) support group including using an appropriate tone when communicating with members, maintaining roster, sending reminders, coordinating parking and supplies for the group sessions
Assist with effective day-to-day operation of project operations
Provide support/assistance to staff and leaders as needed
Screen, interview, and assist individual programs in hiring support staff as needed
Manage schedules for administration
Committee participation and completion of committee work, communicate such efforts to team and superiors
Assist leadership to obtain funding for outreach if needed and prepare annual reports
Track completion and timely submission of state reporting data
Maintain and provide marketing information and public relations services, and attend events as requested
Organize, develop, edit, and distribute relevant publications
Assist with recruitment, reappointment, assignment of clinical faculty
Coordinate/organize documentation for annual reports and objectives for department
Attend and provide minutes for operations, faculty, and other meetings as requested
Assist and track development of contracts with schools, outside agencies, individuals
Assist with preparing annual budget and monitoring expenditures
Provide administrative back up support to Academic Chief’s administrative team by covering the management of schedules and office management tasks
At least a Bachelor's degree.
A minimum of 3 years of strong administrative experience.
Supervisory experience preferred.
Ability to get along with others and engage.
Excellent organizational and communication skills.
Computer skills including knowledge of Access, Excel and experience with word processing (Microsoft Word).
Demonstrated ability to accurately collect, and store data
Excellent communication skills both verbal and written
Demonstrated ability to effectively communicate with patients, staff, and investigators as well as maintain patient confidentiality.
Strong organizational skills
Must be able to work independently and must be able to work a flexible schedule based on study needs.
