University of Rochester Asst Director, Business Admin in Rochester, New York

GENERAL PURPOSE:

This position is responsible for providing administrative and managerial oversight of all Education and Academic/Faculty Affairs operations in the Department of Psychiatry and proactively ensures each area has the necessary support to accomplish their respective missions and activities. This position is responsible for planning, directing, and managing the fiscal, personnel, administrative activities/functions associated with the department’s Education operations and Faculty Affairs with guidance and collaboration from the Associate Chair of Education and Associate Chair of Faculty Affairs respectively. This position has general oversight of the following offices and/or programs: GME training programs, non-GME training programs (i.e., the Family Therapy Training Programs (MS and Post-degree), Psychology training programs, etc.), the Skills Lab and Psych AV group and the Faculty Support Office which is responsible for providing administrative support for faculty recruitment, reappointments, promotions, tenure, career development, faculty governance, and mentorship.

This position directly and indirectly supervises 10+ Education Admin staff which includes the Administrator of GME programs and Skills Lab and the Faculty Support Office Supervisor. Also provides administrative support for 50+ residents, fellows and post-docs and trainees in partnership with the Associate Chair of Education.

This position provides direction and guidance to the Faculty Support Office in partnership with the Associate Chair of Faculty Affairs who leads the mission and vision for this component of the Department, and through direct supervision of the Faculty Support Office Supervisor. Has responsibility for communication and interface with the URMC Office of Academic Affairs and other relevant departments outside of Psychiatry.

Subscribes to the Department's goal of creating a culturally competent environment by treating patients/families, trainees, research subjects, and co-workers in a sensitive and caring manner with appropriate attention to cultural differences. Participates in available cultural competence events and training.

RESPONSIBILITIES:

  • Interpret policy and regulations; establish policies to meet operational needs and implements as needed.Participate in development of managementprocesses and resolution of problems. Obtain support services for program areas. Ensure Workflow efficiency and appropriate coverage levels are supported across services. Develop key metrics and dashboards to track progress.Support compliance with relevant oversight regulatory authorities.

  • Ensure compliance of Psychiatry education and training programs with Regulatory Requirements and all written policies and procedures and interpret policies to faculty and trainees as needed.

Fiscal Management:

  • Develop budgets and manage revenue expenses for Education and Academic Affairs. Monitor, analyze, estimate, and forecast staffing and non-staffing expenditures and expense variances. Assist in development, strategy, and processes for cost efficiencies.

  • Financial administration of SMD, hospital, endowed and gift accounts and government contracts.

  • Develop and manage Education and Academic Affairs budgets, salary, operating and capital budgets utilizing WorkDay to monitor all account activity. Liaison with Psychiatry and hospital finance regarding salary distributions.

  • Monitor and approve payroll and leave activities.

  • Serve as faculty salary manager for program directors as assigned by Psychiatry Finance.

  • Negotiate and manage contracts with outside agencies

Staff hiring, Supervision, and Oversight:

  • Develop staff distributions, monitor, revise manpower reports, and prepare incremental staffing requests for Education and Academic Affairs staff.

  • Assist in resolution of payroll problems. Supervise admin leadership staff in Education and Academic Affairs directly and in collaboration, selects and supervises the staff in those areas. Provides the necessary training, development, support and evaluates their performance.

Oversight of Departmental Grand Rounds, Education Committee and Other Education Office Operations

  • Manage all aspects of Departmental Grand Rounds and CME activities. Assume responsibility and accountability for all reporting of CME credit as required by URMC, ACCME, and the New York State Education Department.

  • Serve as the department expert for CME credit and activities. Serve as a member of the Grand Rounds Committee. Develop department’s annual request for Grand Rounds CME.

  • Maintain applications for Psychology and LMFT/LMHC Continuing Education Credit (CE) as required by the New York State Education Department including requesting, tracking, and managing credit for approved CE activities.

  • Provide analysis of evaluation results and recommendations for changes to Grand Rounds Committee.

  • Manage all aspects of IMIPS didactics. Write annual application for continuing education credit, track all paperwork, evaluations, attendance and complete quarterly reports for the CME office.

  • Serve as department resource for all immigration and visa issues related to trainees or faculty appointments, consulting with International Student Office, Office of Counsel or Immigration attorneys as needed.

  • Manage and approve all requests for department observerships.

  • In partnership with Chief Administrative Officer, maintains oversight for all space on 2-9000 including renovations, repairs, and upkeep.

  • Attend relevant meetings, committees and huddles.

Other duties as assigned.

QUALIFICATIONS:

  • Bachelor's Degree in business, accounting or a related field and five years of experience in an administrative/supervisory capacity required.

  • Master’s degree in Business Administration or equivalent graduate training or experience in a specialty suited to the assignment preferred.

  • 5 years relevant work experience including substantial work at a managerial level, preferably in an educational institution; equivalent combination of education and experience required.

  • Experience in a complex health care system, including substantive work at the managerial level in an academic medical setting preferred.

  • Excellent verbal and written communication skills, including the ability to effectively network within and outside the University and the ability to develop detailed written proposals required.

Pay Range

Pay Range: $84,718 - $127,088 Annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
