Job Responsibilities:

  • Serves as key point of contact for both internal and external parties related to sponsor projects providing guidance and advisement on interpretation of rules and regulations governing sponsored programs, compliance issues, and terms of agreements.

  • Provide ongoing guidance and mentoring to less experienced post award staff.

  • Reviews and interprets moderately to highly complex grants and contracts (e.g. NIH, federal/state agency grants, corporate grants NYSERDA contracts, sub contracts and sub grants, and STTR/SBIR) award terms and conditions for compliance with university policy and procedures. Identifies problematic or conflicting priorities or terms, negotiate acceptable language, and/or consult with other RIT parties on acceptable alternatives.

  • Provides administrative leadership for grants and contracts such as preparing and distributing terms and condition summary documents, ensuring accurate award entry into related databases/systems, create accounts and distribute award information, and create and maintain award documentation, and project management.

  • Review, interpret, and negotiate acceptable terms and condition related to grants and contracts. Negotiation requires advanced knowledge of grants and contract terms and nuanced sponsor terms with increased risk.

  • Leads coordination and preparation of required regular reports to external sponsors.

  • Develops and maintains close working relationships with external sponsors, faculty, staff, department heads, directors, deans, and vice presidents.

  • Conducts independent analysis and assessment of change requests to determine organizational risk, potential impacts on project activities, and appropriate required approval.

  • Provides expertise and significant contributions on related post award and SRS projects and initiatives. Assists with process improvements and development of standard operating procedures.

  • Performs other duties as assigned.

Required Qualifications:

Education/Experience:

  • Bachelor’s degree

  • 4 years of related experience

  • An equivalent combination of experience and education may be considered.

Skills:

  • Ability to negotiate standard grant and more complex contract agreements

  • Familiarity with contractual terminology

  • Ability to manage multiple projects

  • Ability to learn and effectively use award management software and related sponsor systems

  • Effective and efficient writing and communication skills

  • Ability to adapt to continuously changing sponsor guidelines, regulations, policies, and systems

  • Ability to manage challenging negotiations

  • Intermediate knowledge of sponsor agencies and their requirements

Ability to train, mentor, and serve as resource to less experience staff.

Job Summary:

Performs a variety of key tasks and supports externally sponsored programs across campus through grants management. Works in collaboration with Sponsored Programs Accounting Office, funded Principal Investigators, external sponsors, and key university partners including VPs, Deans, Department Heads, and unit management.

Demonstrates ability to perform at the Post Award Administrator I level (Assists in reviewing, interpreting, negotiating, and accepting awards from a variety of sponsors. Advises on rules and regulations governing sponsored programs, compliance issues, terms of agreements, and assists in assessing organizational risk of terms. Provides project management guidance and serves as key point of contact for internal and external parties for life of award.). Awards are broader, varied, and moderately to highly complex (e.g. contracts and sub awards and more complex grants such as NIH, federal/state agency grants, corporate grants NYSERDA contracts, and STTR/SBIR, increased negotiation which requires advanced knowledge of grants and contract terms, nuanced sponsor terms with increased risk). Functions under limited supervision effectively carrying out award management independently. Provide ongoing guidance to less experienced post award staff. Provides expertise and significant contributions on related SRS projects and initiatives.
