Robert Half Administrative Coordinator in Yarmouth, Maine

Description We are offering a contract to hire employment opportunity for an Administrative Coordinator in Yarmouth, Maine. The selected candidate will function as a vital link between insurance companies and field representatives, manage workload efficiently, and maintain strong relationships with various stakeholders. This role also involves monitoring work volume within a territory and maintaining regular telephone contact with clients.

Responsibilities:

• Serve as the primary liaison between insurance companies and field representatives, facilitating effective communication and ensuring smooth operations

• Create and sustain long-term relationships with field representatives to manage workload efficiently

• Proactively reach out to representatives regarding work past due to the company

• Monitor the volume of work within a given territory and notify Field Operations Manager in case of significant increase or decrease

• Maintain regular telephone contact with clients to ensure their needs and inquiries are promptly addressed

• Monitor on-time percentage for field representatives and clients, taking necessary steps to optimize performance

• Maintain billing rates within the assigned territory

• Effectively utilize Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and other necessary management systems to ensure efficient administrative coordination

• Demonstrate strong customer service and data entry skills to ensure high-quality service delivery. Requirements • Demonstrable familiarity with Microsoft Office Suites, Microsoft Excel, Microsoft Word, and Microsoft Outlook

• Proficient in the use of the Management System

• Experience with About Time software

• Ability to perform data entry tasks with accuracy and efficiency

• Strong customer service skills, with experience in handling C-Suite level correspondences

• Exceptional organizational and administrative skills

• Ability to multitask and prioritize tasks effectively

• Excellent written and verbal communication skills

• Proven experience in an Administrative Coordinator role or similar would be advantageous

• Demonstrable ability to work independently and as part of a team.
